Privacy Policy

This Privacy Policy explains how Prompt Airchitect ("we", "us", "our") collects, uses, discloses, and protects information when you use the Prompt Airchitect web application and website (the "Service") at https://promptairchitect.com. By using the Service, you agree to the practices described here. If you do not agree, please do not use the Service.

1. Information We Collect

We collect the following categories of information:

• Account information. Your name, email address, and authentication credentials (passwords are stored only as platform-managed hashes; never in readable form). If you sign in with a third-party provider such as Google, we receive your name and email from that provider.
• Content you create. The objectives, notes, and existing prompts you submit; the engineered prompts generated for you; your saved prompt library and version history; unsaved drafts; and any content you contribute to collaborative sessions.
• Billing information. Payments are processed by our payment provider (Base44 Payments). We store purchase records such as your plan, order identifiers, amounts, and subscription status, but we never receive or store full card numbers.
• Student verification information. If you apply to the Student Pro program, your student email address and enrollment status and dates.
• Support and bug report information. If you submit a bug report or contact us, we receive your name, email, message content, and — for bug reports — technical diagnostics such as browser console logs, the page you were on, your user agent, screen size, and any screenshot you choose to attach.
• Usage and analytics data. Events such as pages viewed, prompts generated, credits used, and purchases completed, collected to measure and improve the Service.
• Technical data. IP address, device and browser type, and similar data collected through our hosting infrastructure and analytics tools.

2. How We Use Your Information

• To provide the Service, including generating, refining, saving, and sharing your prompts.
• To process payments, manage subscriptions and credits, and run the Student Pro program.
• To send you service-related communications, security notices (such as one-time passcodes), and responses to your requests.
• To investigate bug reports and provide support.
• To detect, prevent, and address abuse, fraud, and security issues, including audit logging of sensitive administrative actions.
• To measure usage, understand feature adoption, and improve the Service.
• To comply with legal obligations and enforce our Terms of Service.

We do not sell your personal information, and we do not use your prompts or notes to train artificial intelligence models.

3. AI Processing and Third-Party Services

To engineer prompts, your submitted objectives, notes, and existing prompts are transmitted to third-party AI model providers that process the input and return the generated prompt. These providers process your data on our behalf to deliver the Service. Other third parties we rely on include: our hosting and application platform (Base44), our payment processor (Base44 Payments), our email delivery provider, and analytics providers. Each third party processes data only as needed to provide its function, under its own privacy terms, which we encourage you to review.

4. Data Sharing and Disclosure

We share your information only: (a) with the service providers listed above; (b) with collaborators in sessions you choose to join or content you choose to share; (c) when we believe disclosure is required by law, legal process, or to protect our rights, safety, or property; and (d) in connection with a merger, acquisition, or sale of assets, in which case we will notify you before your data is transferred to a new controller.

5. Data Storage and Security

Your data is stored on servers managed by our hosting platform. Data-in-transit is encrypted, and access is restricted using role-based controls. Sensitive administrative actions (such as role changes and account inspection) are recorded in an audit log. No method of transmission or storage is completely secure, and we cannot guarantee absolute security; if we become aware of a breach affecting your personal information, we will notify you and applicable regulators as required by law.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service to you. Account and library data is retained until you delete it or close your account. Billing records are retained as required by tax and accounting law. Bug report diagnostics are retained for 12 months or until the related ticket is closed and any retention window has passed. Analytics data is retained in aggregated form where it no longer identifies you.

7. Your Rights and Choices

Subject to your local law, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can exercise most of these rights directly in the Service:

• Access and update: your profile details can be viewed and changed in the Account hub.
• Deletion: you can delete individual saved prompts and drafts at any time from your Library. To delete your entire account and all associated data, use the account deletion option in the Account hub or email us at hello@promptairchitect.com from your registered address. We will process verified requests within 30 days, except where we must retain certain data for legal reasons (for example billing records).
• Collaboration content: prompts you shared in a collaborative session may be retained in that session's history for other participants; we will remove your individual contributions from future shared views where technically feasible.
• Marketing: we send only service-related email; you may opt out of non-essential messages using the unsubscribe link or by contacting us.

If you are located in the European Economic Area, United Kingdom, or another jurisdiction with similar law, you may also complain to your local data protection authority.

8. Cookies and Similar Technologies

We use essential cookies to keep you signed in and remember your preferences, and analytics cookies to understand usage. You can control cookies through your browser settings; disabling essential cookies may break sign-in.

9. Children's Privacy

The Service is not directed to children under 16 years of age, and we do not knowingly collect their personal information. If you believe a child has provided us information, contact us and we will delete it.

10. International Transfers

We operate in the United States, and your information may be processed in other countries where our service providers operate. Where required, we rely on appropriate safeguards such as standard contractual clauses for such transfers.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised version here with a new "Last updated" date and, for material changes, notify you by email or in the Service before the change takes effect. Continued use after the effective date means you accept the updated policy.
